Define the workflow

A Property Finder CRM integration can mean publishing listings, receiving consumer enquiries, or exchanging selected records. Record the direction and exact data in scope before estimating work. Property Finder’s Enterprise API documentation describes listing workflows; its Developer Network requires providers to complete onboarding and security and compliance review before receiving full documentation and test credentials. Do not assume a connection is available merely because a CRM has an API.

Confirm authorization and ownership

Use credentials issued for the agency and approved use case. Property Finder’s API terms govern access by licence, while approved network partners have a defined role. The Enterprise API documentation describes server-to-server communication and OAuth credentials managed through PF Expert. Keep secrets on the server, name the owner for rotation and support, and document how access will be revoked. If approval is pending, label the work a proposal or test plan rather than a live integration.

Map fields before moving records

For every field, record the Property Finder name, CRM name, whether it is required, transformation, source of truth and validation. For enquiries, consider the portal lead reference, time, lawfully shared contact data, listing reference, language when supplied and original source. For listings, map identifiers and fields in the approved specification. Preserve original identifiers so support can trace a mismatch without searching by a person’s name or phone number.

Keep lead source and consent visible

Property Finder defines leads as consumer personal data shared subject to consent. Its API terms require leads from Property Finder to be identified as such in the CRM and prohibit combining or pooling them with leads from third-party platforms. Keep the source visible to agents and administrators, restrict access to people who need the data, and follow approved retention rules. Never put real customer details in screenshots or test reports.

Test failures as well as success

Use a sandbox or clearly marked test account. Test a valid lead, unknown listing reference, duplicate delivery, delayed event, rejected listing and temporary network failure. For each, record the expected system state and human next step. Duplicate delivery should not silently create uncontrolled records; an error should carry a safe correlation ID and useful reason. An HTTP success alone does not prove that the receiving team can see or work a record.

Check Dubai listing compliance if in scope

If the scope includes publishing Dubai listings, use the current official listing workflow rather than a lead-only test. Property Finder’s Enterprise API documentation says Dubai listing flows require official permit details and a licence number before creation or update, subject to documented exemptions. Verify the details against the live specification and the agency’s records. A technical connection does not replace the agency’s compliance checks.

Sign off named acceptance cases

Record environment, test case, expected and actual result, evidence with personal data removed, owner and retest date. Confirm that an authorized listing reaches its intended state, a lead keeps its Property Finder source, errors can be followed up, and the business user can see the record. Test permissions and credential revocation. The agency and integration owner should sign off only the cases they actually exercised.

Monitor without exposing people

Track operational signals such as delivery time, accepted and rejected event counts, retries and unresolved errors. Prefer aggregate reporting. Keep names, phone numbers, email addresses, access tokens and visitor identifiers out of dashboards and logs. Alert the responsible team when the workflow stops, but do not describe an alert as a recovered lead until a person verifies it.

Separate marketing claims from proven capability

Ask a provider for exact endpoints, approval status, supported directions, field list, duplicate and retry behavior, security controls, support hours and a test-data demonstration. Devzonia’s real-estate CRM page is a relevant place to review its published claims, but a marketing page does not prove that a specific Property Finder API connection is approved or active for an agency. Request written confirmation and test the actual workflow before production use.

Next step

Start with one workflow and one test listing or enquiry. Agree who owns approval, credentials, mapping and acceptance, then document results and gaps. If access is not authorized yet, this checklist helps the agency prepare without describing a planned connection as live. Link to the verified CRM service page only after confirming its scope. The goal is a traceable handover and clear human response, not an unsupported promise of automatic publishing or conversion.
