A property viewing is not fully arranged when someone merely suggests a time in a conversation. The team still needs to check availability, the customer's agreement, the meeting point and the person responsible for the visit. This property viewing confirmation template brings those details into a short message and a shared record.
Before sending a confirmation
Check that the person authorized to provide access is available and that the address or meeting point is correct. Include the day, date and time, adding a time zone when the customer is communicating from another country. Use an internal property reference when helpful. Do not include access codes or occupants' private information.

Do not mark the appointment confirmed until the customer gives a clear reply. Sending the message or seeing a read receipt does not establish attendance agreement.
Three adaptable messages
Request confirmation: “Hello [name], we suggest viewing property [reference] on [day and date] at [time and time zone]. Meeting point: [place/link]. Your contact is [name and contact method]. Does this suit you? Please confirm or suggest another time.”
Reminder after confirmation: “Hello [name], a reminder of our agreed viewing on [date] at [time], meeting at [place]. If your plans change, please let us know so we can arrange another time. Contact the viewing representative at [contact method].”
Reschedule: “Thank you for letting us know. We have cancelled the previous appointment in our tracker. The proposed replacement is [day, date and time]. We will confirm the new booking after your reply.” Use this wording only after actually cancelling the old appointment in the record.

Example and review process
In a fictional example, the team suggests four o'clock and the customer requests five. The replacement remains proposed until property availability and both parties' agreement are established. Update the same record rather than leaving two bookings open. An automated reminder should read the latest saved time and stop when a visit is cancelled.
These rules can work in a shared spreadsheet or CRM. Automation requires setup and testing; the template does not assume every product already includes it. Review unanswered appointments and reasons for changes using consistent definitions for attendance and cancellation. Respect requests to stop messages, and do not promise that reminders guarantee attendance.
