After a viewing, “the property is good” is not enough to determine the next action. The location might suit the customer while a question about space or availability remains unanswered. A property viewing feedback template records these differences and helps the team agree on a useful next step.

Start with three short questions

Ask what best suited the customer's needs, which point needs clarification, and what they would prefer to do next. Allow time to decide. Silence is not a rejection, and interest is not agreement to purchase. If the customer declines to comment, record that without guessing the reason.

Use the existing customer reference rather than duplicating contact information in every copy of the table. Do not collect personal documents or information unnecessary for follow-up, or share comments in a public group.

Separate opinion from fact

“The room feels small for me” describes a preference. “The room measures three by four metres” requires a measurement or reliable source. Do not turn an impression into a confirmed technical description or promise an unverified feature. Record the open question, then add the answer and its source when available.

In the example, liking the location does not by itself mean the customer is ready for the next stage. The employee obtains parking clarification, shares it through the agreed channel and asks whether it resolves the question. If requirements change, update the record so an old comment does not keep shaping later suggestions.

A short follow-up message

“Thank you for viewing [property]. We understood that [suitable feature] meets your needs and that you would like clarification about [question]. We will check this and respond by [agreed time]. Does that accurately summarize our conversation?” Review the details before using the message, and do not promise a deadline the team cannot meet.

Team review

Review records awaiting information without an owner, and recurring questions that could be answered before a viewing.
